The best way to get candidates to respond faster in Indian staffing is not a cleverer subject line. It is four operating choices: use WhatsApp instead of email for the first ask; reach out the same working hour the match appears; ask three or four short questions instead of pitching; and only message people who actually fit the JD. Employed talent is at work. They will tap a relevant, low-effort note. They will not excavate a recruiter novel, and they will not forgive a spray of mismatches. Meet employed talent on the channel they already check

People who are happily employed do not live in Gmail the way recruiters do. They live in WhatsApp. A first screen that arrives there, naming the role and the city, can be answered in a lift. Speed is a filter, not a courtesy

A candidate who updated a Naukri profile this morning is in a window. So is someone who applied to your client’s Hot Vacancy. If your agency takes two days to rank and a third day to message, another desk already has their CTC. Speed here is not “hustle culture.” It is arriving while they still remember why they looked. Rank automatically, fire the short screen when the match crosses the bar, and let humans talk only to people who answered.

Slow follow-up after the first reply is the second death. If they sent expected CTC at 11:40 and you come back at 6:15 with “can we hop on a call,” they are in standups and you are a ghost. A paragraph about your client’s mission is for people who already said yes. The first message should be answerable on a phone keyboard without scrolling.

“Java + 5 years + Pune + this band” tells them why you are in their chat. “Exciting opportunity” tells them you sent it to fifty others.

Make no cheap to type

If the only way out is to ignore you, many will. A single “not for me” option is a response too — and it stops your second chase.

Relevance is the unfashionable multiplier

Messaging mismatches does not increase reply rate. It destroys it. Every wrong JD you send is training data for “mute this recruiter.” Rank on must-haves, drop the obvious location and skill misses, then message a tight set. Volume metrics that celebrate “2,000 WhatsApps this week” are how brands get blocked. A hundred relevant notes will outperform a thousand random ones on replies and on later conversions, because the people who answer still fit.

A reply-speed checklist for one req

Match list ranked by morning. WhatsApp screen out before lunch. Follow up yeses the same afternoon with two time slots. Do not add a second JD to the thread unless they ask. Stop after one reminder.

Employed talent also punishes inconsistency. If recruiter A was crisp and recruiter B from the same agency dumps the full JD at 9 p.m., the brand is B. Write a house style: length, fields, hours you send (not midnight), and a stop rule. Faster replies are a system, not a personality.
